General Statement of Duties:

Provides general administrative support to the Representative Payee program. May perform other accounting, reimbursement, and administrative support tasks.   

Distinguishing Features of Work:

This position reports to the Controller.  The incumbent performs accounts payable and related work requiring a high level of organization and attention to detail.  The incumbent closely coordinates work assignments and responsibilities with the Financial and Facilities Management Specialist. The work requires a variety of accounting activities according to a prescribed routine. Maintaining client confidentiality is a requirement.

This position is classified as non-exempt under the provision of the Fair Labor Standards Act.

Major Essential Functions:

Performs or serves as a backup for all Representative Payee functions, which may include:

Working closely with Financial & Facilities Management Specialist and case managers.

Preparing and recording deposits and entering non-client cash receipts.

Processing invoices for payment, printing checks, and mailing or handing out checks.

Processing petty cash requests.

Preparing monthly budgets and monitoring individual consumer balances.

Handling inquiries from vendors/others regarding transactions.

Prepare Social Security Reports.

May perform asset inventory.

Maintain basic knowledge of CSB accounts payable procedures to serve as backup for Accounts Payable


May participate in cash management activities, including cash collection procedures and bank deposits,

etc.  May deposit checks remotely and perform daily cash collection.

Maintains effective relationships with co-workers and consumers based on courtesy, compassion and respect.

May back up other departmental functions or perform other duties and special projects as assigned, consistent with established operational policies and procedures.

Required Knowledge, Skills and Abilities:

Good knowledge of accounts payable procedures and office terminology, procedures, and equipment; demonstrated knowledge of computer operations with related skills in data entry, word processing, and spreadsheets; ability to work independently, but coordinate responsibilities with the work of others; ability to understand and follow oral and written directions; excellent interpersonal and customer support skills; ability to perform detailed, accurate work; ability to seek and use supervision appropriately; ability to work as a team member, within the department and the agency; flexibility; dependability; good judgment; and ability to maintain confidentiality.

Minimum Educational Experience:

Completion of high school or GED preferably supplemented by college or business school courses; two years experience in accounts payable and/or administrative work; OR any equivalent combination of training, experience, and aptitude that provides the required knowledge, skills, and abilities.
